Electronic Data Interchange Software
Overview
Electronic data interchange software enables organizations and corporations to share information between one another without utilizing a single piece of paper. This system is usually employed by businesses, educational institutions, medical establishments, and other large institutions that need to share large volumes of information.
Electronic data interchange software can reduce costs for organizations that need to communicate large amounts of data back and forth between various entities. Special software is available for this purpose and is designed to rapidly send data between two or more sources. This data is typically routine information that must be exchanged on a regular basis.
How It Works
Electronic data interchange (EDI) software requires portals for data to be sent to another system. The software uses any of the following type of transmissions as agreed on by the sender and recipient - File Transfer Protocol (FTP), Hyper Text Transfer Protocol (HTTP), Applicability Statement 1 (AS1), or Applicability Statement 2 (AS2).
Organizations should agree on a certain type of EDI protocol and configure the sending and receiving machines based on the specifications. They should also customize the message implementation guidelines for the standard transfer of information. A transmission protocol should also be developed depending on the size and nature of the information to be sent.
Benefits
EDI networks are difficult to set up and implement for people not well versed in the technology. Therefore, it is advisable to use an outside source or firm to set one up for your company. The biggest benefit of electronic data interchange is that it eliminates the need for the manual transmission and interchange between companies or within a company. Storing and transmitting electronic data also saves a lot of paper work and filing, not to mention labor hours. Searching and data recovery is also made easier by electronic data maintenance, and the transmission of data is faster and easier with EDI.
Costs
EDI software and its implementation can be expensive, and the most effective versions of this software are often not sold as standalone products. EDI software usually comes bundled with other benefits like free set up, instillation, and/or configuration at a minimum extra charge. Some software packages will also offer an extended warranty or option to upgrade service for a specific period of time.
Timing
The right time to install electronic data interchange software in your company depends on the needs of your business. Since the process of setting up and implementing EDI software takes a lot of time (from a few days to a few weeks), it is advisable to make a decision well before it becomes necessary to operate your business.
